The differences between IACC conference centers and other types of meeting facilities can be very dramatic—or quite subtle. This session brings the conference center concept into clear focus and gives participants the insights and tools they need in order to be successful in this special industry niche.

Industry experts will unravel all the mysteries of the conference center concept as they address six key areas: Conference Services, Operations (focusing on Food & Beverage), Rooms and other services, Sales & Marketing, Public Relations and Technology.

Participants will:

Get a thorough grasp of the essential components of the conference center concept.

  • Examine conference center sales and public relations techniques and nuances.

University Forum
They may or may not have guest rooms. They may be located on the main campus or 50 miles away. They may report to the Dean of Continuing Education, a Vice President of the Business School or the Director of Auxiliary Services today—and someone else tomorrow. Welcome to the world of university conference centers, a world that’s full of politics, surprises and constantly changing org charts.

University conference centers represent almost a third of IACC’s active membership. They are a strong segment-within-a-segment and while there may be huge differences among them, they do have a lot in common.

Join your colleagues in college and university conference centers to address common challenges and issues and acquire best practices that you can use in your own operations.

Facilitator: Peter Stockmann, CEO, 3p Business Solutions.

1:00 - 3:30 PM

Corporate Conference Center Benchmarking

Operating conference centers is the primary mission for most IACC members.  Many conference centers are owned by a corporation whose core business is very different from running a  “conference center”.  There are many hurdles to overcome to mesh these different focuses?

This a half-day session is a unique forum for sharing information and best practices among owners and managers of corporate centers of all types – residential, non-residential, with internal, external or a mix of customers. Grab this tremendous opportunity to share best practices and solutions to today’s operational and financial challenges.

A veteran group of presenters will dispense essential information and solicit your ideas and techniques.

Seating is limited and requires completion of a pre-workshop survey. Participants are encouraged to bring property brochures, marketing information, etc.

Facilitators: TJ Fimmano, GM, GE Crotonville; Ellen Sinclair, Vice President, Benchmark Hospitality; Geoff Lawson, GM, Dolce Basking Ridge

Leaders Forum:  Powerful Times and Possible Futures
(Session 1)
By Invitation Only.

Class size is strictly limited to 50 and preference will be given to individuals who register for all four sessions.

No one can predict the future but we are all capable of envisioning a future. It is safe to say that simply extending current trends out 15-20 years is one way to envision the future – the future will be more or less the same as today, only more of some things and less of some other things. This perspective is the most common view of the future. However, this view is more often than not, totally wrong. Unanticipated events, new discoveries, rapid technological innovations can change dramatically the rather predictable course of events as has been shown over the last 10 years. So if we cannot predict the future, how can we think about the future in a way that helps us make decisions now?

Topics

  • Thinking about the Future today -- Common views of the future as seen by the major forces at play today that impact on the meeting business.
  • Creating Possible Futures -- The creation of four possible futures for the meetings industry. These are not meant to be predictive but rather meant to identify the radical differences that each future brings.
  • Implications of Possible Futures -- The four possible futures provide a means of assessing the current meetings business with respect to preparedness and adaptability given the possible futures.

    Presenters: Banff Leadership Development Centre
Fee: $295 per person (includes all four sessions)

The Complete Meeting Experience Package (CMEP) - it's not about Ergonomic Chairs!

For years IACC conference centers have focused their energies and financial resources on creating comfortable meeting environments through the use of ergonomic chairs, hard writing surface tables, tackable walls, appropriate lighting levels and temperature controls.  Not surprisingly, copy-cat non-IACC properties have sprouted up with many of the same amenities.  Going forward, the success of IACC conference centers may very well depend on their abilities to shift the lens and devote energies on creating complete meeting experiences which are both memorable and transformational.

Who is Looking Back at You in the Mirror? The Ethics and Best Practices in the Meeting Industry

Task Saturation
"Effectively dealing with little time and too much data"
One of the most significant issues in business today is the need to do more with less. This often results in severe pressure on organizations to perform and deliver up to their standards when in fact they are task saturated. In the Precision Execution Process™ one of the key success drivers is dealing with task saturation in an effective way.

  • Task Saturation or task overload is not having the time, tools or resources to get the job done properly.
  • Task saturation is the main stumbling block to good execution.
  • This session deals with the issue of time management, getting everything completed in a rush and in general being bombarded and over burdened with data. The result is less than perfect performance, delivery and execution in organizations on a daily basis. We help you solve this problem in this session.

At the end of this session the pitfalls of task saturation are illustrated and participants have a sure fire process to deal with and combat it.

Planning Sustainable Food & Beverage

The choices meeting managers make about food and beverages are critical to the well being of their guests, budget, and planet.  Meeting managers have the responsibility for making these food choices for the large number of people attending their meetings and events.  These choices have become increasingly complicated as guests have come to expect food that fits their daily way of life, whether that is low-carbohydrate, organic, or one of the many other options.  Not only do meeting managers make choices about the food and beverages served, but also about how it is served.  This session will provide key skills for creating sustainable food and beverage for your events as well as resources to assist you.

Learner Outcomes:

  • Understand terminology and goals related to sustainable food & beverage.
  • Have the resources for making informed food choices.
  • Understand the issues and learn how to arrange for food donations in a variety of locations.
  • Understand how you can save your organization money by the choices you make.

Incident Management System
Have you ever had to deal with an emergency? The Incident Management System (IMS) is a management tool for dealing with all different types of unplanned incidents. Regardless of the crisis this management tool, when used, will help to compartmentalize how to use the people affected by the emergency and how to keep them safe. This systematic management process removes the dilemma of who is responsible for what during any type of crisis, natural disaster or man made terror. Developing, writing, understanding, educating, and implementing the system are all the essentials for a well-managed incident plan.

Learning objectives:

  • Describe the different types of crises that can affect your event.
  • Determine the types of incidents that warrant an incident plan.
  • Design an incident plan that can be implemented at a moment's notice.
  • Determine the process and structure for implementation.
